Food Vendor Information

Thank you for your interest in participating in the Good Smoke BBQ Fest! We are excited to showcase a great variety of food vendors as part of this year's festival.

Are You a Food Vendor?

Food vendors prepare and serve food to the public on-site and are required to obtain a Monroe County Health Department permit. This includes our BBQ vendors as well as one ice cream / dessert vendor.

If you sell manufactured, pre-packaged food that does not require a health department permit (such as bottled sauces, rubs, or packaged snacks), you are a retail vendor — please apply on the Retail Vendor page instead.

Vendor Space & Fees

  • The vendor fee is $200 for the full event weekend. Fees are only collected after your application has been reviewed and approved.
  • Each food vendor will receive approximately one 20' x 20' vendor space.
  • Vendors must keep all equipment, vehicles, tents, cooking equipment, seating, and storage within their assigned space.

Event Benefits

  • Vendor listing and promotional coverage on the festival website and social media for up to one year following the event.
  • Trash and grease disposal dumpsters will be provided by the event.

Beverage Restrictions

  • No beverages of any kind may be sold by vendors, including but not limited to water, soda, energy drinks, coffee, tea, lemonade, beer, wine, or alcoholic beverages.
  • This policy will be strictly enforced and violations may result in immediate removal from the event without refund.

Electricity & Utilities

  • Limited low-amperage electricity will be provided for basic needs such as lighting, point-of-sale systems, phone charging, and cash registers only.
  • Electricity may NOT be used for refrigeration, air conditioning, cooking equipment, food warmers, exhaust fans, trucks, trailers, or other high-draw equipment.
  • Vendors requiring additional power must provide their own QUIET inverter-style generator.
  • Vendors are responsible for supplying all extension cords, hoses, splitters, lighting, tents, tables, chairs, and any additional equipment needed for operation.
  • Water access will be available at a central shared location. Vendors must bring their own hoses, containers, or transport equipment if needed.

Permits & Compliance

  • All food vendors are required to obtain and display a valid Monroe County Temporary/Offsite Health Permit.
  • Vendors are responsible for complying with all Monroe County Health Department regulations and fire safety requirements.
  • Vendors are responsible for collecting and reporting all applicable sales tax.
  • A fire extinguisher is required at every food vendor booth.
  • Vendors using propane, charcoal, wood, pellets, or open flames must comply with all fire safety regulations.

Event Hours & Operations

  • This is a rain or shine event. No refunds will be issued due to weather or other circumstances beyond event control.
  • Vendors are required to remain open and serving during all public event hours.
  • Vendors are responsible for maintaining a clean and professional appearance throughout the event and keeping their area free of trash and debris.

Load-In / Load-Out Schedule

Saturday, September 19th

  • 7:00 – 9:00 AMVendor Load-In

Sunday, September 20th

  • By 9:00 PMAll vendors & equipment removed from grounds

Vehicles & Parking

  • Vendor vehicles must be removed from the vendor area after unloading unless specifically approved by festival organizers.
  • Vendors will be directed to designated vendor parking areas.

Festival Management

  • Festival organizers reserve the right to refuse or revoke vendor participation at any time for safety concerns, policy violations, disruptive conduct, excessive noise, unauthorized sales, or failure to comply with event rules.

Waiver of Liability & Media Release

Please read the full waiver below before accepting.

WAIVER OF LIABILITY AND MEDIA RELEASE In consideration of acceptance of this entry and participation in the Good Smoke BBQ Fest, I, the undersigned, intending to be legally bound, hereby waive, release, and discharge any and all claims for injury, illness, death, loss, theft, or damage that I, my heirs, executors, administrators, successors, or assigns may have against Good Smoke BBQ Fest, Good Smoke BBQ LLC, the Town of East Rochester, event sponsors, organizers, volunteers, property owners, and their respective agents, representatives, successors, and assigns arising out of or related to participation in, attendance at, setup for, teardown of, or vending at this event. I acknowledge that participation in a BBQ festival and cook-off involves inherent risks, including but not limited to the use of grills, smokers, knives, propane, charcoal, wood fires, electrical equipment, food preparation equipment, vehicles, tents, weather conditions, uneven surfaces, and large crowds. I voluntarily assume all such risks associated with participation in the event. I agree to be solely responsible for the conduct and safety of my team members, employees, contractors, staff, guests, equipment, inventory, products, vehicles, and personal property during the event. I further agree to comply with all event rules, health department regulations, fire safety requirements, and applicable laws. Participants and vendors are responsible for carrying any insurance required for their operation and participation in the event. I understand that event organizers reserve the right to remove any participant, vendor, sponsor, volunteer, judge, or team for unsafe, disruptive, or non-compliant behavior without refund. Furthermore, I hereby grant permission to Good Smoke BBQ Fest and its authorized representatives to use any photographs, video recordings, motion pictures, livestreams, audio recordings, or other record of the event containing my likeness, team name, business name, logo, or image for promotional, advertising, marketing, or other legitimate purposes without compensation. By checking the acceptance box and/or submitting a registration form, I acknowledge that I have read, understand, and voluntarily agree to the terms of this waiver. Electronic acceptance of this waiver shall be considered the same as a physical signature.
